You can easily check out a document from a SharePoint site, make changes to it, and then check it back in to make your modified version available to all site members.

  1. Log into your SharePoint site, e.g., yourdomain.sharesrvr.com.
  2. On the Quick Launch bar, click the Shared Documents link.
  3. In the document library, mouse over a document; click the arrow that appears to the right of the document name, and then click Check Out.

    Check out tab highlighted.
  4. In the Microsoft Internet Explorer message box, click the OK button. The document is now checked out to you. Other users will not be able to edit the document until you check it back in.
  5. In the document library, mouse over the same document; click the arrow that appears to the right of the document name, and then click Edit in Microsoft Office Word.
  6. There may be a file warning and a username and password request box. After these pop-up windows, Microsoft Word will start and display the selected document. Edit the document as desired.
  7. When edits are complete, you should check in the document in SharePoint. In Word, save the document and close Word. Word may ask if you want to check in the document now. If yes, click the Yes button.

To check in a document after closing Word, in the document library, mouse over the document; click the arrow that appears to the right of the document name, and then click Check In.
  8. In the Document Check In section, select whether or not you want to keep the document checked out.
  9. Enter comments as desired.
  10. Click the OK button.
